Privacy Policy – Idea Books

Idea Books considers the personal privacy of its customers and visitors to its websites extremely important. The personal data of business partners, customers, and visitors are treated and secured with the greatest possible respect.

Why we save your data
Idea Books processes general personal information exclusively for its internal operations and core activities. This is necessary in order to comply with our obligations regarding existing regulations in the Netherlands, but also to fulfil the obligations Idea Books holds with regard to its customers (both trade and private).

We process data provided by private and trade customers and companies for the following purposes:

The execution of the contract and/or the delivery of products and services.
To inform private customers and/or companies about new titles and/or special offers.
To inform customers of any problem concerning orders, deliveries, or payments.
To inform customers of third parties in their area where books/magazines might be acquired.
For our own financial records and accounting purposes.
To fulfill legal requirements applicable in the Netherlands.
 Idea Books processes the following personal data (when provided) from private customers and companies:

contact details, including postal address, e-mail address, and telephone number 
invoice data
payment data
products ordered
IP address (see also: website use)
 Idea Books handles its own administration and only shares your data with third parties under contract obligations such as IT services or transport services, and solely in order to fulfil the purposes mentioned above.

Idea Books takes great care to protect the data provided by companies and/or customers and uses technical and security tools in order to avoid data loss, exposure, abuse and/or unauthorized access, including use by third parties, by means of a secured website (SSL certificate), virus software, firewalls, backups, and both digital and physical access control. If at any moment you have the impression that your data has been accessed and used, please contact us immediately.

Website use
When you access our website we check your IP address so we can display prices in your local currency, as well where you can physically buy a book/magazine in the region where your IP address is located.

This is done anonymously and we do not save this information.

IP information is solely used to provide the correct currency and links to third parties (such as bookshops listed under ‘Buy this Title From’) and is not traceable to individual customers.

Additionally, we use Google Analytics in order to understand how visitors use our website. Google Analytics uses cookies, which are saved by Google US. The information provided by these cookies is used anonymously and is not traceable to individual customers.

Please note that Idea Books is not responsible for the privacy policies enforced by third-party websites to which our own website may or may not link directly.

When placing an order on our website as an individual customer, we save the information provided exclusively for the correct handling of your payment, order processing, and shipment, in addition to handling claims, if necessary.

This information is only accessible to Idea Books staff and, in some cases our IT manager (i.e., when a technical problem occurs). We do not share this information with third parties.

When applying for an account as a trade company, we save the information provided in order to handle orders, shipments, claims, and offer information and services as applicable to our activities.

When you subscribe to our newsletter we save your name, e-mail, and country, as well as other information provided, if applicable. We do not share your information with third parties; we send newsletters exclusively from within the Idea Books system. We only send newsletters if you have signed up to receive them; you can unsubscribe anytime via a link included in each newsletter.

When you have a trade account with Idea Books, we add you to our newsletter if you request it, and you can adjust your data or unsubscribe at any time. We do not share your information with third parties.

Tax Authority
The retention obligation for administration and financial data in the Netherlands is seven years.

Review and Correction of Your Data
You may request and review your personal information as maintained by Idea Books at any time.

If desired, this information will be modified according to your indications.

Right to Adjust the Privacy Policy
Idea Books holds the right to adjust its privacy policy at any time. Any changes will be published here.
