General Trade Terms And Conditions
These terms and conditions apply to companies buying from Idea Books B.V. as a reseller, shop or wholesaler (hereafter, the customer).
By placing a (trade) order with Idea Books, the customer agrees to these terms and conditions.
Ordering
Orders can be placed through a representative, e-mail contact, by telephone, or directly through your account on the trade site.
Please note: titles are reserved on the basis of ‘first come, first served’.
Idea Books partners with suppliers worldwide, dealing in various currencies. As a result, due to supplier policies or currency fluctuations, prices may change between the time of ordering and invoicing.
First orders from new customers will be supplied on the basis of pre-payment. Please note that books do not get reserved until payment of a proforma is confirmed.
Delivery and availability
Trade customer orders will be added to our regular shipment schedule, which is based on specific territories. If your order is urgent, please contact us directly. Please note that we do not provide pre-shipment notifications.
Orders are subject to stock availability. Idea Books will strive to fulfill the majority of your order in a single shipment.
Items which are not in stock or are being reprinted by the publisher will be kept on backorder. Backorders will not be cancelled, unless specifically requested by the customer. Backorders will be supplied once items become available. Titles that are no longer available from the publisher or are out of print will be automatically canceled. You will be informed of this on your invoice.
Titles reserved for the customer and in stock will remain reserved for up to 6 months if the customer chooses to delay shipment. After this period, Idea Books will release the reserved stock. Customers can check their order status through their trade account. Please contact us to obtain login credentials.
Our suppliers in different parts of the world have a wide range of delivery windows. This means that supplying certain titles may take longer than others.
Titles from overseas that are out of stock at the time of ordering may take up to 3 months to be supplied.
If you receive books that are defective or damaged during transport, please contact us. These items are eligible for a replacement or an additional discount.
Idea Books frequently delivers small packages to large forwarders at the customer's request. Once our shipper has delivered these parcels to the forwarder, we are not responsible for any loss that may occur at the forwarder’s warehouse.
Shipment schedule and costs
Idea Books offers various shipment options, which are agreed upon with the customer when setting up an account. We always strive to provide the most cost-effective and reliable option available.
Shipment costs will be added to the customer’s invoice, either included in the price or separately, depending on the destination territory and/or weight of the shipment.
We seek to supply all customers in one territory simultaneously, depending on the size of the recorded orders.
Payment
To ensure smooth payment processing, please always include your account number and invoice number when making a payment.
Our invoices are due for payment 30 days after the invoice date, unless otherwise agreed.
Idea Books reserves the right to set a credit limit for its customers.
If the customer fails to pay within the required term and/or exceeds the credit limit, we reserve the right to withhold further supply. Please note that titles will not be reserved if the customer’s account is on hold.
Idea Books shall at all times be authorised to require an advance payment which it deems sufficient for the fulfilment of the customer’s payment obligations, before delivering or continuing with the delivery.
We shall have the right to suspend any further deliveries if the customer repeatedly fails to meet the payment requirements.
In the event where the customer’s overdue account must be referred to a debt collection agency and/or attorney, the customer will be liable for all costs which will be incurred, including commission on collection of the additional costs and also including legal demand costs.
All items remain the property of Idea Books until the invoice is paid in full. If payment is not received, we reserve the right to reclaim the items.
Return policy
As a general policy, Idea Books delivers books on a firm basis. However, there can be exceptions to this rule:
1. Books which have been supplied by mistake, damaged at our end or during transport. If this is the case, please contact us.
2. Shipments which have been supplied, by agreement, with right of return (for example for exhibitions).
The customer may always, within a reasonable time frame, make return requests for unsold stock. This will usually be granted in the following circumstances:
1. If we, ourselves, think we are able to sell the books.
2. If we have the right to return them to our suppliers.
Titles are to be returned at the customer expense.
Books will be credited at the same price and discount as they were most recently invoiced.
Returned books must reach us in mint condition and without price or any other shop stickers. If this is not the case, they will either be sent back at the customer’s expense or credited at a discount of 80%.
Books that were not distributed or delivered by Idea Books, as well as books returned without prior authorization from us, are not eligible for a credit.
Returns will not be accepted if the title has been supplied less than 3 months or more than 18 months of the invoice date.
Returns must reach us within three months after the date of return authorisation. They should include the return authorisation and a packing list.
